ADMINISTRATIVE OFFICERS (4)
Primary Duties:

Handle and coordinate all project and office level procurements
Serve as focal point with suppliers
Process and maintain administrative and Human Resources documents and filing system
Maintain office filing system/storage
Draft administrative and distribute correspondence
Assure adherence to internal rules and regulations
Ensure smooth functioning of the office premises and oversee office equipment and inventory tracking
Vehicle and driver management
Responsible for making internal travel arrangements and hotel booking for all staff
together with the finance officer, prepare logistics for meetings, workshops, trainings and other events
Track and coordinate contract renewals
Provide oral and written Ugandan Local languages and English translation as required
Process visa/residential card and work permit for Country Representative and other delegates as required

Key qualifications:

University graduate
Minimum 2 years relevant work experience
Highly proficient in English and any two Ugandan local languages
Prior NGO experience strongly preferred
Ability to work both independently and as a team member
Strong communication, organizational and reporting skills
Able to meet deadlines, working long hours and during weekend if required
Strong computer skills (Microsoft word, excel, power point, Microsoft project and other basic applications).

ADMINISTRATIVE FINANCIAL OFFICERS (4)
General duties:
1.Assists the Project Director regarding human resources, financial and material management of the project in order to efficiently reach the expected results; 2.Contributes to the drawing up of annual work plans and budgets as well as annual report; 3.Plans, directs, and coordinates the work of the administrative/financial team of the project under his/her responsibilities; 4.Participates in the organization and logistics of the short term assignments carried out staff; 5.Participates in the Project Administrative Manual drawing up and enforcement; 6.Supervises staff in accordance with national legislations, CHILD AID 's policies and procedures. 7. Looks after project compliance with Ugandan laws and rules and liaises with competent authorities; 8.Makes sure that all contracting, hiring and the purchases of equipment, materials and services are in conformity with the administrative procedures. 9. Monitors, controls and submits monthly financial report, treasury forecast and gets approved all expenditures. 10. Monitors and controls a variety of detailed accounting, statistical, and narrative financial statements or reports requiring analysis and interpretation; and works closely with CHILD AID head office. 11. Deals with the financial institutions and state agencies. 12. Analyzes and documents problems and implements solutions to enhance efficiencies. 13. Assist the Project Director in developing and maintaining relations with donors, government authorities and projects which could contribute to the attainment of the project results
Knowledge and skill requirements:

Bachelor or master degree in business management, project management or accountancy;
Minimum of 2 years of experience in administrative and financial management of international development project
Experience in planning, management and budgeting
Excellent knowledge and skills of national laws and regulations regarding labor, tax and others
Excellent knowledge and skills of technology information (Windows Office, internet, others)
Excellent knowledge and skills in English communication and writing.

PART TIME VOLUNTEERS (20)
Main duties
1. Translate project documents from English to Local languages and vice versa 2. Draft any correspondence to local authorities and partners 3. Practice filing project documentation 4. Involve and support relevant SSD activities: organizing a workshop, planning activities, etc. 5. Other relevant duties which may arise during working time.

Essential

University graduates/undergraduates (Finalists and fresh graduates can apply)
Fluent in English and any Ugandan local language
